The Role

We are actively seeking a skilled and motivated Office Administrator to become an integral part of our esteemed Global AMEP Legal Team, stationed at our SMEC Randburg office. As an Office Administrator, you will play a crucial role in maintaining the smooth operation of our administrative processes. Your responsibilities will encompass a wide range of tasks, including but not limited to managing office supplies, coordinating meetings and appointments, handling correspondence, and providing general administrative support to the legal team.

Key Responsibilities

  • Provide administrative and organisational support to the AMEP legal team
  • Organise and maintain files and documents
  • Liaise with technical or management staff to obtain and collate information for case preparation
  • Liaise with clients, debtors and other professionals on behalf of the legal team
  • Manage calendars and schedule appointments
  • Transcribe recorded meeting; notes and memos.
  • Prepare meeting agendas, take minutes and distribute them; also circulate an action list on decisions made
  • Maintain the AMEP legal team's registers including the monthly reports, disputes registerS, litigation trackers, board reports etc.
  • Upload executed contracts to the online contract database and keep the database up to date
  • Distribute communications to the business on behalf of the legal team
  • Apply for internal business approvals on behalf of the Amep legal team for travel, training or other purposes
  • Maintain strict confidentiality of sensitive legal information and communications
  • Print; photocopy; scan; bind and deliver documents.
  • Manage Office supplies.

Recommened Qualificattions, Skills and Experience

  • Grade-12 (Matric) Certificate is a minimum requirement
  • A relevant Tertiary qualification will be highly persuasive.
  • Minimum of 3 years working experience in a similar position.
  • Experience using all Microsoft Office Applications (Outlook, Word, Excel, PowerPoint etc.)
  • Must be highly proficient in MS Word and Excel.
  • Fully proficient in the English language, reading and writing.
  • Driver's licence
